1. Who we are

2. The personal data we collect
Depending on how you interact with us, we may collect:
- Identity and contact data — name, email, phone, postal address.
- Donation data — amount, frequency, Gift Aid declaration. Card details are processed by our payment provider; we never store full card numbers.
- Volunteer / equipment-donor data — availability, location, and any details you share with us about equipment collected.
- Technical data — IP address, browser type, device information, and cookie identifiers (see our Cookies Policy).
- Communications data — emails, form submissions, and messages you send to us.
3. How we use your data and our lawful basis
Under UK GDPR we must have a lawful basis to process personal data. The bases we rely on are:
- Consent — for marketing emails and non-essential cookies.
- Contract — to process donations and provide requested services.
- Legal obligation — to retain financial records and comply with HMRC Gift Aid rules.
- Legitimate interests — to operate, improve, and secure the website, and to thank donors and volunteers.
4. Sharing your data
We share data only with carefully selected processors who help us operate the charity:
- Payment providers (e.g. Stripe / GoCardless)
- Email and CRM platforms used to communicate with supporters
- Hosting and analytics providers needed to run this website
- Shipping and logistics partners that move donated equipment to our partner clubs
- HMRC, where required for Gift Aid claims
We never sell your personal data and we do not share it with unrelated third parties for their own marketing.
5. International transfers
Some of our partner clubs and coaches are based in Nigeria, Tanzania and Rwanda. Where personal data is transferred outside the UK, we rely on appropriate safeguards (such as UK International Data Transfer Agreements, or transfers to countries deemed adequate by the UK government) and we limit transfers to what is strictly necessary for the programme.
6. How long we keep your data
We keep personal data only for as long as necessary for the purposes set out above. Financial records, including Gift Aid declarations, are retained for the periods required by HMRC.
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request deletion of your data
- Object to or restrict processing
- Receive your data in a portable format
- Withdraw consent at any time, where consent is the basis

9. Children
Our work supports children, but our website is not directed at children. We do not knowingly collect personal data from anyone under 13. If you believe a child has provided us with personal data, please contact us so we can remove it.
